How to add, verify, edit, and manage member accounts in Co-Desk — including manual creation and bulk import.

Where to Find Members

Go to Operations → Members. You'll see all registered members at your current location.

Adding a Member Manually

  1. Click Create member
  2. Fill in their name, email address, and phone number
  3. Optionally assign them to a company
  4. Save

The member receives a welcome email with a link to set their password and verify their account.

Importing Members in Bulk

Use the Import action from the Members list to upload a file with multiple members at once. Make sure your file matches the required columns: name, email, phone, company.

Email Verification

Members must verify their email before they can make bookings. If a member says they can't book, they likely haven't verified their email yet.

To resend the verification email:

  1. Go to Operations → Members and find the member
  2. Tick the checkbox next to their name
  3. Click Actions → Send Email to Member
  4. Choose Create Password (sends a password setup link with verification) or Welcome Email
  5. Send

Editing a Member

Click on any member to open their profile. You can edit their name, email, phone number, company assignment, and internal notes (not visible to the member).

Searching and Filtering

Use the search bar at the top of the Members list to find by name or email. Filter by location if you manage multiple sites.

Viewing a Member's Activity

Open a member's profile and use the tabs to see:

  • Subscriptions — active and past membership plans
  • Bookings — all past and upcoming bookings
  • Deposits — any held deposits
  • Invoices — all invoices issued to them
  • Transactions — payment history

Deactivating a Member

To prevent a member from logging in without deleting their history, contact your Co-Desk account manager. Full deletion is not available from the admin panel to protect financial and booking records.


Common Questions

A member can't log in. What do I do? Use Actions → Send Email to Member → Create Password to send a password reset link.

Can a member belong to more than one company? No — each member is assigned to one company at a time.

Can I add a note to a member's profile? Yes — the Notes field on the member profile is internal and only visible to operators.
